Fellow AFCEA members:

Planning for the 2010 TechNet Asia Pacific has begun. This will be the 25th year of the conference. Please mark your calendars for 10/25-10/28 at the Sheraton Waikiki and Royal Hawaiian Hotel.

 It takes many volunteers to plan and staff TechNet. Here are a couple ways you can get involved:

  1. Take a look at the committees below and pick one or two to join. Each committee comprise of synergistic activities that were separate committees in previous years. Meetings are the last Wednesday of each month. Not every committee will meet every month.
  2. Host a planning meet at your facility if you have a room that can accommodate 15-20 people. We bring our own refreshments.

Logistics during the conference (to include volunteers, seating, ops center, A/V details, emcees)

-Volunteers-scheduling as well as developing duty/guidelines

-Transportation to off-site events

-Parking validation

-Handlers for speakers, panelists and other specific invited guests (parking, badge/bag, escort onto exhibit floor…)

-Seating of VIP at various events

-Emcee coordination, script each event

 Publicity before and during the conference (to include proclamation, JROTC, ROTC and other student programs)

-Develop a plan for promoting the conference

-Identify organizations/groups that put out regular newsletters that reach our target audience

-seek inclusion in calendar section of newspaper, article/ad in base papers, etc

-arrange for press coverage of conference

-invitations

-website content before conference

-upload photos during conference 

Member services during the conference(to include member’s room, seating, training)

-Parking reimbursement

-Member room setup, handout, materials (member’s room open Monday  8 am to Thursday 5 pm, tentative)

-training events, if any 

Sports/Recreation (to include golf and tennis and possibly add event for spouses)

-Recommend locations, solicit prize donations, plan the awards/social event 

Recognition and Ceremonies (to include award presentations, coin presentations, photo ops, speaker and panel gifts, leis, conference shirt, opening ceremony, patron gifts, past presidents, POW recognition table) 

Evening events (to include Monday patron event, Tuesday social and Wednesday reception)

-Research locations

-recommend entertainment

-invitations for VIPS and Chapter

 

Conference Theme and Speakers (after speakers have been identified and contacted)

-conduct follow-up to coordinate their arrival, A/V requirements, meet/greet

 

Finance

-draft reimbursement instruction

-collect request, route for approval, process reimbursement

-keeper of budget for events

-handle money at events
